Duties

  • Manage and coordinate calendar appointments, meetings, and personal schedules with precision and efficiency
  • Handle front desk responsibilities, greeting visitors, managing multi\-line phone systems, and directing calls with professional phone etiquette
  • Perform data entry, filing, and maintain organized records using Microsoft Office, Google Workspace, and other office management tools
  • Provide customer service support by addressing inquiries promptly and courteously via phone or email
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and manage invoices
  • Support clerical tasks such as proofreading documents, preparing reports, and managing correspondence
  • Oversee office supplies inventory, order necessary materials, and ensure the office environment remains tidy and functional
  • Coordinate personal errands or tasks as needed to support executive or team members’ schedules
  • Maintain confidentiality of sensitive information while ensuring all administrative processes run smoothly
  • Experience

  • Previous office management or administrative experience in a fast\-paced environment is highly preferred
  • Strong computer skills including proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry software
  • Excellent organizational skills with the ability to multitask effectively and prioritize responsibilities
  • Bilingual abilities are a plus for communicating with diverse clients or team members
  • Experience in customer service roles or as a receptionist—particularly dental or medical reception—is advantageous
  • Familiarity with multi\-line phone systems, calendar management tools, and basic bookkeeping software such as QuickBooks is desirable
  • Demonstrated ability to handle clerical tasks like proofreading, filing, and maintaining accurate records with attention to detail
  • Strong time management skills combined with professional phone etiquette and excellent interpersonal communication
