Job Summary

We are seeking a dynamic and organized Front Desk Admin/Lead to serve as the welcoming face of our organization. This vital role combines front desk management, administrative support, and office coordination to ensure smooth daily operations. The ideal candidate will be energetic, detail\-oriented, and possess excellent communication skills, with the ability to handle multiple responsibilities efficiently. As a Front Desk Admin/Lead, you will be responsible for creating a positive first impression for visitors and clients while managing administrative tasks that keep our office running seamlessly.

Responsibilities

  • Greet visitors, clients, and vendors warmly and professionally, ensuring a positive experience from the moment they arrive
  • Manage multi\-line phone systems, screen calls, and direct inquiries to appropriate team members with courtesy and professionalism
  • Handle all front desk duties including check\-in/check\-out procedures, visitor badges, and security protocols
  • Maintain organized office records through filing, data entry, and document proofreading to ensure accuracy and accessibility
  • Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings
  • Provide exceptional customer service support by addressing inquiries promptly and efficiently via phone or email using strong phone etiquette and computer literacy skills
  • Qualifications

  • Proven experience in front desk administration or office management roles with clerical experience
  • Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry tools
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment
  • Bilingual abilities are highly desirable to serve diverse client \& back\-office staff needs effectively
  • Experience with phone etiquette, multi\-line phone systems, and customer support is essential
  • Personal assistant or calendar management experience is advantageous
  • Demonstrated ability to handle confidential information discreetly with strong proofreading skills
  • Ability to manage time efficiently while juggling multiple responsibilities with a positive attitude
