Administrative Licensing Assistant will be doing\-
- Completes administrative duties for supervisor and agency staff as requested/ assigned, including but not limited to:
- Complete bi\-weekly on\-call report for Finance
- Complete finance flex funds, purchase orders \& travel requests
- Order supplies when needed
- Complete on call calendars
- Maintain Language Line translation iPad usage log and related finance documentation when needed.
- Entering all Ages and Stages Questionnaires (ASQ) scores into the ASQ portal.
- Designated coverage for Receptionist/ Front Desk and related duties when that staff is on break or on leave.
- Complete assigned reports in a timely manner.
- Assist supervisors, managers, and other leadership staff with administrative tasks as needed/ assigned.
- Maintains front desk reception area and general office organization.
- Create Child resource records when needed
- Create and send Placement letters for children in care.
- Attend all Licensing Team meetings and become familiar with all aspects of C.A.R.E. (foster care and adoption training class), and other licensing activities;
- Plan the training or virtual space and materials needed for each CARE training;
- Assist in community recruitment activities, (these may take place during evenings and weekends)
- Assist in the organization of all licensing files including creating a tracking system to send for all required approvals;
- Attend licensing home visits as requested to facilitate obtaining required documents and photos.
- Point of contact for Key West fingerprinting; operate Fingerprinting equipment and process fingerprints for prospective foster and adoptive families and other clients as needed (including related Finance forms);
- Assist in maintaining Monroe Foster Home Availability listing;
- Compile Monthly Licensing Report as needed;
- Participate in other Foster Parent community events and Quarterly Foster Parent meetings/ trainings;
- Be one of the speakers for WH to assist when needed in recruitment of new foster and adoptive families;
- Complete background screenings for home studies of all types as requested by supervisor, case management, adoption, or other agency staff as requested/ assigned;
- Cross train in Adoption tasks/ duties in order to provide support and backup when needed.
- High school diploma required. Higher level of education and one year of experience in Child Welfare, preferred.

- Must have a valid driver’s license and be willing to work throughout the Keys when needed.
