Vocational Diagnostics Inc. provides expert vocational rehabilitation and life care planning services nationwide. We are retained by attorneys and operate at the intersection of medicine, economics, and litigation. Our team is composed of highly skilled professionals who value accuracy, integrity, and collaboration.

We are seeking a highly organized, proactive Administrative Assistant to provide support to the VDI team. This role is ideal for someone who thrives in a fast\-paced environment, enjoys managing multiple priorities, and has strong attention to detail \- especially when working with written reports and sensitive case information.

Key Responsibilities:

  • Provide day\-to\-day administrative support for damages experts, including email management, task tracking, and calendar coordination.
  • Coordinate and schedule meetings, evaluations, depositions, and conference calls.
  • Serve as a professional and friendly point of contact for attorneys, doctors, and internal team members.
  • Proofread, format, and finalize vocational and medical reports with high accuracy.
  • Ensure consistency, clarity, and compliance with internal standards across all written materials.
  • Manage document versions, naming conventions, and secure storage.
  • Assist with file setup, case intake, and ongoing tracking of deadlines and deliverables.
  • Maintain accurate digital records in case management systems.
  • Follow up on outstanding documentation and client needs.
  • Prepare correspondence, spreadsheets, and summary documents as needed.
  • Support billing processes including time entry, invoice review, and recordkeeping.
  • Provide backup support to the broader administrative team during busy periods.
  • Additional Responsibilities (As Needed):

  • Assist with the management and maintenance of the company’s social media presence, including drafting and scheduling posts, ensuring brand consistency, and coordinating content with leadership as needed.
  • Support the preparation and distribution of the company’s quarterly newsletter, including coordinating content, proofreading, formatting, and managing distribution lists.
  • Collaborate with internal team members to gather updates, announcements, or content for external communications.
  • Requirements

  • Prior administrative or executive assistant experience (legal, medical, or expert witness setting preferred).
  • Exceptional proofreading and written communication skills.
  • Strong organizational abilities with excellent attention to detail.
  • Proficiency in the full Microsoft Office Suite (Word, Outlook, Excel, Teams) and comfort with case management or CRM tools.
  • Ability to manage sensitive information with professionalism and discretion.
  • Strong time management skills and ability to prioritize multiple tasks.
  • Calm under pressure and able to handle high volume or deadline driven workloads.
  • Professional, friendly, and client service oriented.
  • Works well independently and collaboratively.
