Overview
We are seeking a highly motivated and detail\-oriented Executive Administrative Assistant to join our dynamic team. Responsibilities
- Manage complex calendars and schedule appointments using Microsoft Outlook Calendar and Google Workspace, coordinating meetings across multiple time zones
- Handle all incoming communications with professionalism and courtesy, including multi\-line phone systems and phone etiquette standards
- Prepare, proofread, and transcribe documents, reports, and correspondence with accuracy and attention to detail
- Organize and maintain filing systems, both digital and physical, ensuring quick retrieval of information
- Assist with event planning including logistics coordination and vendor communication
- Support bookkeeping tasks using QuickBooks, including data entry, invoice processing, and basic bookkeeping functions
- Provide personal assistant support as needed, including travel arrangements, expense reporting via DocuSign, and other administrative duties
- Strong communication skills
- Proven experience in office management or executive administrative support with a strong background in clerical tasks and customer service
- Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry skills
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment
- Strong typing speed and transcription skills to handle documentation efficiently
- Experience with project coordination and event planning to facilitate seamless execution of company initiatives
- Knowledge of bookkeeping software like QuickBooks and basic accounting procedures is preferred
- Exceptional communication skills with professional phone etiquette and the ability to proofread documents meticulously
