We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties
- Manage front desk responsibilities, answering phone, possibly doing in person estimates for extra pay, and handling inquiries with professionalism and warmth
- Operate multi\-line phone systems, directing calls accurately and courteously
- Perform data entry, maintain filing systems, and organize documents with precision
- Utilize Housecall Pro
- Schedule appointments, coordinate calendars, and manage meeting logistics efficiently
- Provide customer support by addressing inquiries promptly and professionally
- Assist with bookkeeping tasks using Housecall Pro software
- Handle clerical duties such as proofreading documents, managing incoming/outgoing e\-mail, texts and phone calls
- Support office management activities including organizing estimates, and forwarding them to clients
- Proven experience in an administrative or clerical role within an office environment
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace tools
- Excellent organizational skills with the ability to prioritize tasks effectively
- Experience with multi\-line phone systems and phone etiquette standards
- Bilingual abilities are highly desirable to serve diverse client needs
- Knowledge of invoicing software, or bookkeeping experience is a plus
- Demonstrated customer service skills with a friendly and professional demeanor
- Ability to handle sensitive information discreetly with strong proofreading skills
- Personal assistant experience is advantageous but not required
- Strong time management skills with the ability to multitask efficiently in a fast\-paced environment
