Job Summary
The Executive Assistant serves as a critical operational partner to Lineage Care leadership, ensuring seamless coordination of daily business functions, staff operations, and compliance requirements. This role is responsible for managing executive schedules, supporting hiring initiatives, and maintaining accurate and timely documentation to meet state and organizational standards.
Duties
Calendar \& Operations Management
- Manage and maintain the organization’s master calendar, including staff schedules, client appointments, trainings, and compliance deadlines
- Coordinate meetings, interviews, and internal trainings across all homes and programs
- Ensure leadership is prepared for all scheduled events with necessary documentation and updates
- Assist in recruiting efforts including posting positions, screening candidates, and scheduling interviews
- Coordinate onboarding for new hires (background checks, required documents, training enrollment in Connecteam)
- Track staffing needs and support workforce planning across all homes
- Support audit readiness by organizing and maintaining accurate records
- Prepare, review, and maintain internal documents, agreements, and SOPs
- Ensure all required employee documentation is collected and properly stored (DL, CPR, Food Handler, MANDT, etc.)
- Assist with submission of required documentation to state agencies and internal leadership
- Proven experience as an executive assistant or in a similar administrative role supporting senior leadership.
- Strong organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment.
- Excellent written and verbal communication skills demonstrating professionalism and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and data entry tools such as DocuSign.
- Demonstrated experience with calendar management tools like Microsoft Outlook Calendar and Google Calendar.
- Ability to handle multiple projects simultaneously while maintaining accuracy; adept at multitasking under pressure.
- Strong typing skills combined with transcription abilities for note\-taking or meeting summaries.
- Knowledge of office management practices including filing systems, front desk operations, multi\-line phone systems, and office supply management.
- Experience in event planning from small meetings to large corporate events is highly desirable.
- Exceptional phone etiquette coupled with excellent customer service skills for engaging with clients, vendors, and team members professionally.
