Major Responsibilities:

  • Responsible for maintaining records and processing all vendor/administrative billing invoices and cost transfers for wellness services hub. Works closely with finance/accounting team to ensure accuracy. Partner with leadership to manage budget and report monthly stats.
  • In partnership with Supervisor, coordinate staffing for all wellness hub work\-site health screenings and education programs. Communicate regularly with screening team to ensure understanding of event scope, and resources/supplies needed.
  • Assists with the planning and implementation of wellness programs and services. Partners with Product Experts to help coordinate all arrangements for on\-site events, including conducting employer site visits when requested.
  • Responsible for providing ongoing communication and superior customer service to company clients. Coordinate all event logistics, handle inquiries, billing questions, and payment and service requests. Educate and inform clients about wellness programs, help upsell services when appropriate. Ensure effective and successful complaint resolution to build trust and maintain internal and external partnerships.
  • Assists with the coordination and process flow and delivery of wellness programs to include inventory control, cost management, project set\-up, and supply, paperwork, and equipment maintenance and management. Partner with wellness team to maintain client/program/participant counts and medical records for proper reporting and billing.
  • Assists with the development, revision and distribution of patient education materials, compliance, and patient care forms. Responsible for data recording and maintaining all patients records and results in accordance with compliance guidelines. Coordinates tracking for incentive\-based programs for key employers, manage data/reporting for participants. Monitors and prepares utilization reports, outcomes, participation rates, case summaries, etc. for internal and external organizational leadership.
  • Helps facilitate administrative duties for wellness services hub; coordinates supply and paperwork ordering/inventory/distribution, drafts client agreements, maintains scheduling tool for employer events, responsible for answering 800 number and hub email inquiries.
  • During flu season, Partners with Flu Coordinator to organize and schedule immunization clinics. Assist with onsite flu program implementation and data/participant tracking and billing. Responsible for Epic registrations and clinical entry for insurance\-billed clients.
  • Assist wellness team with departmental projects as requested. Help coordinate and execute project from start until finish ensuring project timeline/delivery/budget is met.
  • May be called upon to perform screening tests/procedures at employer events based on department needs, (i.e., blood pressure, biometric screening, body composition, lab tests, or other testing.) Provide educational counseling based on participants results and accurately records screening information along with proper routing of all paperwork for processing.
  • Must be able to demonstrate knowledge and skills necessary to provide care appropriate to the age of the patients served. Must demonstrate knowledge of the principles of growth and development over the life span and possess the ability to assess data reflective of the patient's status and interpret the appropriate information needed to identify each patient's requirements relative to his/her age\-specific needs, and to provide the care needed as described in the department's policies and procedures. Age\-specific information is developed further in the departmental job standards.
  • Licensure, Registration, and/or Certification Required:

  • None Required.
  • Education Required:

  • Associate's Degree in Corporate or Community Wellness or related field.
  • Experience Required:

  • Typically requires 2 years of experience in corporate or community wellness or related field that includes knowledge and/or experience in project coordination, clerical / administrative duties, and educational program promotion and development.
  • Knowledge, Skills \& Abilities Required:

  • Excellent interpersonal and communication (oral, written, and active listening) skills.
  • Demonstrated project coordination skills (organization, prioritization, high attention to detail)
  • Excellent computer skills using Microsoft Office applications (Word, Excel and PowerPoint), and electronic mail.
  • Ability to coordinate a variety of projects and tasks simultaneously.
  • Ability to learn and understand business processes quickly and the overall impact projects have on the business needs of the organization.
  • Ability to learn and navigate EPIC and Workday systems.
  • Physical Requirements and Working Conditions:

  • Position requires travel; therefore, may be exposed to weather and road conditions.
  • Exposed to remote, and normal office atmosphere along with a variety of work\-site environments for program delivery. Work\-site environments may contain odors, dust and dirt.
  • Operates all equipment necessary to perform the job.
