Job Summary

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to senior leadership. This dynamic role involves managing complex calendars, coordinating projects, handling correspondence, and ensuring smooth office operations. Responsibilities

  • Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
  • Prepare and proofread correspondence, reports, and presentations, ensuring accuracy and clarity through meticulous proofreading and transcription.
  • Coordinate projects by tracking deadlines, preparing agendas, and facilitating communication among team members to ensure timely completion.
  • Handle incoming calls with professional phone etiquette, screen inquiries, and direct calls appropriately using multi\-line phone systems.
  • Organize and maintain filing systems—both physical and digital—using efficient data entry techniques and document management tools like DocuSign for electronic signatures.
  • Support office management tasks including ordering supplies, inventory, overseeing front desk operations, and maintaining office equipment to ensure a productive work environment.
  • Assist with bookkeeping tasks using QuickBooks, including basic bookkeeping, invoicing, expense tracking, and reconciling accounts as needed.
  • Requirements

  • Strong organizational skills with the ability to prioritize tasks effectively in a busy setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with Microsoft Outlook Calendar.
  • Excellent typing speed combined with strong data entry skills for accurate record keeping.
  • Experience with project coordination, event planning, and handling multiple priorities simultaneously.
  • Exceptional communication skills—both verbal and written—with professional phone etiquette.
  • Knowledge of office procedures including filing systems, front desk operations, and customer service best practices.
  • Ability to perform light bookkeeping functions using QuickBooks or similar software; experience with basic bookkeeping is preferred.
  • Demonstrated attention to detail in proofreading documents and transcribing audio or video recordings accurately.
  • Flexibility to adapt quickly to changing priorities while maintaining a positive attitude in a fast\-paced environment.
