We are a luxury portrait photography studio based in Santa Barbara, CA, creating deeply personal, confidence\-building portrait experiences for women.
We’re looking for a highly organized, warm, and reliable person to help manage client communication and keep the business running smoothly behind the scenes.
About the Role
This is a part\-time (approx. 10 hours/week), fully remote position with a flexible schedule.
The business is already set up with strong systems, workflows, and templates—so this role is about keeping everything running smoothly, not building from scratch.
You’ll be managing the flow of communication, tracking client progress, and making sure nothing falls through the cracks.
What You’ll Do
- Respond to client inquiries and guide them through booking
- Send contracts, invoices, and emails through our CRM (17hats)
- Keep track of client workflows and ensure everything stays on schedule
- Coordinate shoot logistics and communicate with the team
- Support clients before and after their sessions
- Help keep tasks, calendar, and backend systems organized
- Strong organizational skills and attention to detail
- Clear, prompt, and thoughtful communication
- Ability to manage multiple moving pieces at once
- Proactive and self\-directed (you don’t wait to be told what to do)
- Comfortable using systems and following established workflows
- Experience with 17hats or similar CRM tools
- Experience in admin, operations, or a client\-facing role
- Love creating smooth, well\-organized experiences for others
- Naturally keep track of details and timelines
- Are reliable, consistent, and follow through on what you start
- Are warm, empathetic, and professional in communication
- Enjoy being the person who keeps everything “on track”
- Struggle with consistent or timely communication
- Prefer to “figure things out as you go” instead of following systems
- Have difficulty managing multiple tasks and timelines
