The School District of Beloit is seeking a dynamic and detail\-oriented Accounting Assistant to join our Finance team. The Accounting Assistant is responsible for ensuring compliance with district policies and procedures related to accounting and payroll. This position involves maintaining vendor records, processing invoices and payments, recording deposit information, preparing financial reports, and assisting with payroll and budget processes.

Duties and Responsibilities

  • Review vendor payment information for accuracy and completeness.
  • Process vendor invoices and match with purchase orders.
  • Maintain and update the vendor database, including W\-9 and ACH payment information.
  • Set up accounts payable transactions for timely payment processing.
  • Prepare and file 1099 forms with the Internal Revenue Service (IRS).
  • Administer and maintain the district’s procurement card (PCard) program.
  • Assist staff with procurement card\-related inquiries and issues.
  • Reconcile PCard transactions and post them to the financial system.
  • Maintain and track district fixed assets.
  • Assist with internal and external audits by preparing documentation and responding to inquiries.
  • Process and record cash receipts accurately.
  • Prepare and enter journal entries and budget transfers.
  • Manage athletics and activities addendums for budget, tracking, and payment processing.
  • Process transactions related to the district’s self\-funded health account.
  • Serve as backup for payroll processing, including inputting timecards, timesheets, and substitute payroll on a bi\-weekly basis.
  • Provide backup support for the district’s timekeeping system.
  • Assist in training staff on accounting and payroll procedures.
  • Maintain confidentiality and security of all financial records.
  • Qualifications

  • Associate degree in accounting, finance, business administration, or related field (or equivalent work experience).
  • Proficiency in word processing, spreadsheet, database, and accounting software.
  • Strong understanding of financial recordkeeping, data analysis, and reporting.
  • Excellent written and verbal communication skills.
  • Strong analytical and problem\-solving abilities with attention to detail.
  • Ability to establish and maintain positive working relationships with staff and vendors, and stakeholders.
  • Capability to work independently, prioritize tasks, and meet deadlines in a fast\-paced environment.
  • Willingness to work extended hours as necessary to meet deadlines.
  • Two years of experience in accounting, accounts payable, accounts receivable, or payroll.
  • Experience with Skyward Finance or similar financial management systems.
  • Knowledge of government or school district accounting principles and procedures.
  • Familiarity with Generally Accepted Accounting Principles (GAAP).
  • Working conditions

  • This position is located in an office environment with heating and air conditioning.
  • Work is primarily performed at a desk using a computer and other standard office equipment.
  • Physical requirements

  • Must be able to sit for extended periods.
  • Ability to lift and carry up to 20 pounds unassisted.
