Job Purpose:
Clinical Administrative Assistants provide virtual, live support to Next Gen Neuro’s Clinical and Finance Operations. In this critical role, you will be the primary point of contact for healthcare providers across the country. Using a secure, employer\-issued workstation, you will gather essential patient information and facilitate dispatch efficiently. This position requires strict adherence to HIPAA regulations, and all work will be conducted from a designated HIPAA\-compliant workstation within your home office. This customer support role works independently while synchronously coordinating with other internal and external team members. Ideal candidates will have strong attention to detail, show proficiency in data entry, excellent organizational, communication and customer service skills, and will demonstrate aptitude in working with various technologies.
Duties and Responsibilities
- Gathers information and facilitating dispatch of patient services in real\-time. This includes communication of new, repeated, and discontinued patient orders between Next Gen Neuro (NGN) facility partners and NGN Shift Coordinators and Remote LTM/EEG Analysts.
- Coordinates patient scheduling efforts for new patients per protocol and is the liaison between NGN Shift Coordinator and facility partner for new and discontinued brainwave monitoring orders.
- Ensures accuracy of technologist and physician patient logs.
- Keeps internal patient records and logs current and correct while maintaining confidentiality.
- Sends cumulative updates to facilities for active patients, per protocol.
- Verifies completion of physician and technologist reports within facility electronic medical record (EMR) systems.
- Completes other administrative tasks within the EMR system (managing snapboards, billing activities, pulling history and medications, etc).
- Facilitates ongoing technologist access to multiple customer\-required portals.
- Maintains the Active Patient Spreadsheet in real\-time, ensuring it is up to date with correct information.
- Maintains business phone system and is primary in answering initial incoming calls.
- Aids with new and existing technologist and physician credentialing tasks.
- Completes and maintains a weekly audit process for patient log entries and assists with report generation.
- Completes patient billing activities and ensures services are coded correctly.
- Performs other duties as assigned by Leadership, as this is a new role to our organization.
- Variable work schedule that may change from week to week, based on the shifting workload for the Department and project deadlines.
- Must provide a HIPAA (Health Insurance Portability and Accountability) compliant work area (please see equipment use agreement for more details)
- Must have a strong cell phone and internet connection, along with experience using communication tools like Microsoft Teams.
- Must have cell phone and ringer turned on and promptly respond to communications during assigned work hours.
- Experience with Epic and Cerner EMR systems is preferred.
- Experience with instant messaging platforms is preferred.
- Shows advanced literacy in Windows Operating System computers and Microsoft programs such as Excel, Word, Teams and Outlook. SharePoint experience is preferred.
- Types at a speed \>45 words per minute (WPM) is required. \>60 WPM is preferred.

Working Conditions
This is a remote, work from home, full\-time position. Specific schedules can be discussed during the candidate process. Our business hours are 24/7\.
* Requires video conferencing utilizing employer provided workstation within stationary HIPAA compliant home office throughout scheduled shifts.
Qualifications and Requirements
An Associate Degree or higher is preferred. If no formal degree, must have a High School Diploma or equivalent and have at least 2 years’ experience working in a clinical/healthcare record keeping setting inclusive of working with electronic medical records and their scheduling features.
