POSITION TITLE: EXECUTIVE ASSISTANT

Reports to: Firm Director

Salary: $66,000\-$82,000/annually (based on experience and qualifications)

CLC is seeking a dedicated and responsible Executive Assistant to join our team at our Monterey Park headquarters. The ideal candidate will be articulate, people\-focused, highly organized \& resourceful, and a relentless pursuer of excellence in all they do. The Executive Assistant will report directly to CLCLA1's Firm Director and, along with the mentorship and collaboration of other CLC Executive Assistants, will provide professional administrative and operational support to senior leaders within the organization.

The Firm Director strives to cultivate an open, inclusive, supportive, and efficient office culture. It is the responsibility of the Executive Assistant to champion this vision and to serve as an ambassador for the Firm Director, for the Executive Team, and the organization.

The successful candidate will possess the technical competence, professionalism, and work ethic expected of a highly capable administrative professional, along with the temperament and values necessary to become a trusted confidant, strategic partner, and essential problem solver for the Firm Director.

Key Responsibilities

Strategic Executive Partnership

  • Strategically coordinating schedules, projects, balancing meetings, and ensuring the Firm Director can attend to the most pressing issues, highest leverage activities, and big\-picture goals.
  • Anticipate needs and identify potential challenges, proactively implementing solutions to keep work moving forward, even when not in office.
  • Calendar and Priority Management

  • Anticipate scheduling conflicts and proactively adjust plans to maximize the Firm Director’s effectiveness.
  • Coordinate meetings and commitments across teams and offices, ensuring appropriate preparation and follow\-through.
  • Project and Initiative Coordination

  • Assist the Firm Director in tracking key initiatives, deadlines, and action items to ensure progress and accountability.
  • Coordinate projects and cross\-team efforts to maintain alignment and momentum.
  • Support follow\-up with stakeholders to ensure commitments and deliverables are completed.
  • Communication and Relationship Coordination

  • Draft, proofread, and articulate executive\-level correspondence for clarity, conciseness, spelling, grammar, and punctuation.
  • Serve as a point of coordination between the Director and staff across the organization to facilitate effective communication and workflow.
  • Administrative and Operational Support

  • Resolve competing priorities gracefully. Must engage with all employees with a positive and supportive demeanor when addressing difficult and stressful matters or sensitive topics.
  • Responsible for all standard administrative office tasks including answering phones, faxing, filing, data entry, invoicing support, document creation, assisting with meeting logistics, creating and maintaining client and firm\-related data spreadsheets, and maintaining organized digital and physical records.

  • Handle privileged and confidential information with the highest level of discretion and professionalism.
  • Exercise independent judgment and professionalism when addressing sensitive issues.

  • Requirements:

    The Assets You Possess/Essential Qualifications

    Applicants must have at least 1\-5 years of Administrative or Executive Assistant experience, preferably supporting an executive level leader. Prior law office experience is a plus. Position is based in Monterey Park, California; must be on site minimum 50%; occasionally more frequently. Some travel to other Los Angeles County offices may be required.

  • Technical Skills needed:

  • Expert\-level proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint), including advanced calendaring, executive document preparation, data organization, and professional presentation development.
  • Highly proficient in digital collaboration and document management systems, including Adobe Acrobat, SharePoint, Teams, and cloud\-based file platforms, with strong file governance and information organization practices.
  • AI\-literate and technologically agile, able to leverage emerging tools (e.g., generative AI, workflow automation, and productivity applications) to streamline research, drafting, scheduling, and operational workflows while exercising sound judgment and data confidentiality.
  • Experienced with databases, case management systems, and administrative platforms, maintaining strong attention to accuracy, data integrity, and organized information management.
  • Proficient in virtual collaboration and meeting platforms (e.g., Zoom, Teams, and similar tools), including coordinating multi\-party meetings, managing logistics, and supporting hybrid work environments.
  • Technologically curious and continuously learning, with the ability to quickly evaluate, adopt, and integrate new tools, applications, and systems to improve efficiency and support executive priorities.

This role operates under the Children’s Law Center hybrid work model and requires an on\-site presence approximately 50% of the time. Additional in\-office days may be required based on operational needs.
