Executive Administrative Assistant
- Salary Range: $24\.00 \- $ 33\.60 per hour based on relevant years of experience
- Location: Larimer county, Colorado
- Status: Full\-Time, hourly
- Hours: 8 am\- 5:00 pm with occasional early morning/evening assistance
- Provides onsite and remote high level administrative support to assigned SummitStone Health Partner’s executive and senior leadership team members including but not limited to setting and managing daily schedules and calendars, arranging, and preparing for meetings, appointments, and events (including transportation needs), managing communications such as email, phone, and department level messaging, and managing incoming documents and paperwork including creating and maintaining electronic or paper file management and organization.
- Reminds executive of meetings and appointments; provides leader with related material; maintains current itinerary on a daily, weekly, and monthly basis.
- Carries out a variety of administrative routines to assure the efficient operation of the office so that leaders are afforded optimum utilization of time and effort. This includes relaying important information, communications, and requests to other members on the team, and may include organizing and assisting with the workflow and tasks of other department support personnel. This also includes entering and approving time and time off requests in the HRIS, completing and, updating organizational documents, and supporting the organizational SharePoint site for internal communications.
- Assists with and contributes to department specific job tasks, projects, and priorities, assists with handling and problem\-solving complex issues.
- Assists, coordinates, and collaborates with other administrative staff on special projects including but not limited to supporting coordination of organization\-wide events, projects, and priorities, assisting with external meetings and events, and providing support including coverage when need arises such as during vacancies or vacations.
- Maintains proper flow of communications. Reads, selects, and passes mail (whether hard copy or electronic) to executive, forwards remaining mail to other offices. Composes executive’s general correspondence, frequently on own initiative, and furnishes some information to authorized personnel in response to inquiries when requested.
- Interacts with both external and internal contacts through written, electronic, telephone and face\-to face communication professionally.
- Establishes and maintains files pertinent to department and leader’s activities.
- Research, compiles, and analyzes complex data and prepares reports, documents, and presentations with a high degree of latitude. Assures timely completion of various reports reflecting the activities of the leader’s organization.
- Assists in creating and monitoring department budgets, submitting expense reports, reconcile p\-cards and department expenses, ensure invoices are reviewed and approved for payment and allocated appropriately. Assist with budget estimates and projections, including projections for upcoming organization and department wide changes. Order equipment, furniture, supplies, and materials for the department and leader.
- Perform other duties as assigned.
- Manage multiple priority projects simultaneously.
- Operate with a high level of latitude for independent judgment and initiative.
- Interact in a professional, courteous and confidential manner with staff, clients and agency partners.
- Compose correspondence with little to no supervision.
- Effective verbal and written communication skills
- High school diploma, completion of G.E.D., or equivalent vocational school or short\-term courses in office administration.
- More than four years of administrative assistant, virtual assistant, office administrative assistant, or business administration experience required.
- At least two years of experience in an administrative or business administration role supporting executive and senior level management team members required.
- An equivalent combination of education and experience may be evaluated and considered.
- Prior data entry experience.
- Prior Microsoft Office Suite experience.
- Bilingual and Bi\-cultural
- Notary Public preferred
- Some positions include driving a company vehicle and require a valid Colorado driver’s license.

Role Overview:
Financial: This position serves as an assistant to the Chief Financial Officer and the Director of Finance, and the Director of Revenue Cycle Management.
The Executive Administrative Assistant is responsible for performing executive administrative, confidential, and high\-level administrative support to leaders in the organization. The role requires the ability to function as an administrative business partner and anticipate needs, think critically, problem solve, and execute all work with a high level of integrity and strong equity, diversity, and inclusion lens. This senior level administrative assistant must be proactive, agile, organized, and collaborative and have strong business judgment and excellent communication and interpersonal skills. Individuals in this role are expected to thrive in a fast\-paced, quickly changing environment and has a deep interest in and familiarity with community behavioral health.
