About the Admin \& Accounting Assistant Role
Job Description: The Admin \& Accounting Assistant plays a critical role in supporting and streamlining the administrative, operational, and accounting functions that are central to SPGs mission. Reporting directly to the Vice President of Accounting and Administration, this highly collaborative position requires a detail\-oriented and adaptable professional capable of managing both strategic initiatives and day\-to\-day operations.
The Assistant is responsible for overseeing core administrative workflows, managing office systems and facilities, and supporting internal policy development and compliance. This includes handling cross\-departmental coordination, maintaining records, and managing processes such as vendor relations, budget tracking, and the companys uniform ordering program. The role also supports hybrid work arrangements and office logistics to ensure an efficient and productive work environment.
In addition to administrative oversight, the position plays a key role in employee development by supporting training logistics and implementation. The Administrator also contributes to the successful execution of industry conferences and events through planning and onsite coordination. With a focus on operational excellence and organizational effectiveness, this role ensures the companys internal infrastructure aligns with its broader goals and growth.
Tasks \& Responsibilities
Administrative:
Oversee and refine administrative processes to improve efficiency and compliance with company policies.
Maintain accurate records, reports, and documentation for all administrative functions.
Track budgets and expenses related to administrative operations.
Act as a liaison between departments to facilitate seamless communication and collaboration.
Coordinate executive calendars, schedule meetings, and prepare agendas, ensuring alignment with company priorities.
Assist in the preparation of reports, presentations, and internal communications for leadership review.
Monitor deadlines for compliance, reporting, and licensing requirements to prevent lapses.
Ad hoc functions and other duties as assigned.
Assist with data entry for invoices, payments, and financial transactions
Support accounts payable and accounts receivable by organizing invoices and posting payments
Help reconcile bank statements and credit card transactions under supervision
Maintain organized financial records and files (digital and paper)
Assist with preparing expense reports and tracking receipts
Respond to basic internal and vendor inquiries and route questions appropriately
Assist with month\-end close tasks and other accounting projects
Perform general administrative duties related to the accounting function
Office Administrator:
Oversee daily office operations, including facilities management and supply inventory.
Assist in the enforcement of HR policies to ensure a productive and safe work environment.
Coordinate vendor relationships and service agreements to support office needs.
Manage hybrid work arrangements, ensuring effective support for in\-office and remote staff.
Implement and maintain office systems and procedures to streamline operations and reduce inefficiencies.
Organize internal staff events and morale\-boosting initiatives to promote positive team culture.
Support health and safety compliance by maintaining appropriate records and ensuring required postings are current.
Oversee and manage the companys uniform ordering process, including coordination with vendors, tracking inventory levels, processing employee uniform requests, and ensuring timely fulfillment and delivery in alignment with operational needs.
Qualifications
Administrative Manager
Proven experience in administration management or a similar role.
Strong organizational and problem\-solving skills with attention to detail.
Excellent written and verbal communication skills, with the ability to draft clear correspondence and reports.
Demonstrated ability to work independently, manage priorities, and handle confidential information with discretion.
Skilled in the use of Microsoft Office Suite and common business applications.
Office Manager
Previous experience in office management or operations.
Excellent interpersonal and communication skills.
Ability to manage multiple priorities in a fast\-paced environment.
Familiarity with vendor coordination, office policy development, and operational logistics.
Demonstrated ability to support a hybrid or remote\-first workforce.
Experience overseeing office compliance with health, safety, and workplace regulations.
Accounting
2 years of accounting, bookkeeping, or administrative experience
Basic knowledge of accounting principles preferred
Familiarity with Excel and willingness to learn accounting software (i.e. QuickBooks)
