Overview
We are seeking a highly organized and proactive Executive Assistant to provide exceptional support to our Chief Executive Officer. Responsibilities
- Manage and maintain the CEO’s calendar using Microsoft Outlook Calendar, scheduling meetings, appointments, and travel arrangements with precision.
- Coordinate and organize company events, meetings, and conferences, including venue booking, catering arrangements, and logistics planning.
- Handle all administrative tasks such as typing correspondence, proofreading documents, transcribing notes, and data entry to ensure accuracy and professionalism.
- Support bookkeeping activities using QuickBooks, including invoicing, expense tracking, and basic financial record keeping.
- Serve as the first point of contact for phone calls via multi\-line phone systems; practice excellent phone etiquette while screening and directing inquiries efficiently.
- Oversee office management duties such as filing systems, front desk responsibilities, office supply procurement, and maintaining a professional reception area.
- Assist with project coordination by tracking deadlines, preparing reports, and collaborating with various departments to ensure timely completion of initiatives.
- Utilize Google Workspace applications for document creation, sharing, and collaboration; ensure all communications are clear and well\-organized.
- Support personal assistant duties as needed by managing confidential information discreetly and providing personalized support for the CEO’s needs.
- Proven experience as an executive assistant or personal assistant supporting C\-level executives in a fast\-paced environment.
- Demonstrated proficiency in office management tasks including filing, data entry, clerical work, and customer service.
- Strong organizational skills with the ability to prioritize multiple tasks effectively while maintaining attention to detail.
- Excellent typing speed combined with transcription skills; capable of proofreading documents for clarity and accuracy.
- Familiarity with financial software such as QuickBooks; experience with bookkeeping or basic accounting is preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Microsoft Outlook Calendar, Google Workspace (Docs, Sheets), and DocuSign for electronic signatures.
- Exceptional communication skills with professional phone etiquette across multi\-line phone systems; ability to handle sensitive information discreetly.
- Office experience that includes event planning, project coordination, front desk operations, and office supply management.
