GENERAL DESCRIPTION

Our mission at the Texas Department of Motor Vehicles (TxDMV) is to serve, protect and advance the citizens and industries in the state with quality motor vehicle related services. We are a dynamic state agency dedicated to customer service, consumer protection and the success of motor vehicle\-related industries.

Performs highly complex senior\-level administrative for the Motor Vehicle Crime Prevention Authority (MVCPA), MVCPA Director, Managers and staff. Work involves coordinating senior level administrative operations of the division including developing administrative procedures, assisting with responses to Public Information Act requests and scheduling of MVCPA Board meetings consistent with the Open Meetings Act. Responsible for MVCPA Board and staff travel arrangements, preparation for MVCPA Board meetings and meeting books, developing, and maintaining a complete office and grant filing system, administrative support, purchase requisitions and composing and tracking correspondence with the grantees and public. Assists in managing inventory and participating in public education events. Occasional travel required for events and meetings. Works under limited supervision with considerable latitude for the use of initiative and independent judgment.

ESSENTIAL DUTIES

Provides administrative and technical support to the MVCPA Board, Director, Managers, and staff. Will occasionally travel to meetings or assist with training and public education events.

Communicates administrative procedures, establishes correspondence protocols for the division, document tracking, meeting request formats and protocols.

Develops a list of mandatory and statutory reporting requirements for catalytic converter theft and associated motor vehicle crimes, coordinates with appropriate agency staff and ensures reporting deadlines are met. Maintains appointment calendar for MVCPA Director and Manager.

Schedules and coordinates MVCPA Board Meetings, division meetings, and grantee meetings. Notifies attendees, develops agenda, prepares meeting information, secures meeting space, publishes transcripts, and documents decisions and action items.

Makes travel arrangements, processes travel reimbursement requests, develops travel itinerary, and coordinates reimbursement. Registers and coordinates MVCPA Board members, staff, and grantees attendance for conferences and seminars.

Composes and responds to correspondence and assists in preparation of MVCPA Board meeting documents. Composes draft letters, memos, press releases and reports, proofs and edits for grammar, punctuation, sentence structure and clarity.

Develops and maintains a document tracking and filing system to track the theft of catalytic converters, track the coordination of catalytic converter thefts between MVCPA and other state agencies involved in the collection and review of records for the sale, acquisition, purchase, and destruction of catalytic converters.

Maintains resource and publication library of catalytic converter and associated motor vehicle crimes education material and ensures materials are replaced or revised as needed.

Assists in the planning and preparation of reports, manuals and publications. Assists in managing MVCPA social media and web presence to ensure catalytic converter and associated motor vehicle crime education material is posted.

Ensures appropriate customer service is provided by the MVCPA. Answers phones, provides assistance to the public and customers and routes calls to appropriate agency staff. Processes mail evaluates content and routes to appropriate staff.

Orders office supplies, books, and publications, completes purchase requests, coordinates purchases and processes payments with the Finance \& Operations Division. Responsible for equipment inventory for the office.

Assists with budget preparation and tracking. Coordinates with other administrative support in the agency.

May supervise the work of others.

May travel up to 25% of the time. Involves overnight travel. Travels by plane and/or car. May require working extended hours and some evenings and weekends, as needed.

Qualifications MINIMUM REQUIREMENTS

Education and Experience

Bachelor’s degree from an accredited four\-year college or university or the U.S. equivalency thereof, plus five (5\) years administrative support experience. Experience and education may be substituted for one another. (Experience requirements may be satisfied by full\-time experience or the prorated part\-time equivalent.

PHYSICAL/WORKING CONDITIONS

May be required to work Monday\-Friday, 8 hours a day, 40 hours a week, on\-site at Headquarters location in Austin, Texas.

REGISTRATION, CERTIFICATION AND/OR LICENSURE

A valid Class "C" driver's license is required. If not currently a Texas resident, must obtain a Texas Driver's License within ninety (90\) days after entering Texas as a new resident. A satisfactory driving record is required for operating state or personal vehicles to conduct department business.
