Position Overview

We are seeking a highly organized, tech\-savvy, and detail\-oriented Finance Administrative Assistant (Contract) to support financial operations, tax administration, and day\-to\-day coordination across multiple companies.

This role will work closely with leadership and the Finance \& Tax Manager to assist with tax filings, IRS communications, financial tracking, and contract administration, while also supporting operational workflows including Upwork contractor management and execution.

The ideal candidate is comfortable working in a fast\-paced, multi\-entity environment, has strong computer skills, basic finance and tax knowledge, and is willing to work late hours and weekends as needed.

This is a contract position (1099\), not an employee role.

Core ResponsibilitiesTax \& IRS Support

  • Assist in preparation and organization of tax\-related documents across multiple entities.
  • Support federal and state tax filing processes.
  • Handle
  • IRS correspondence and calls, including follow\-ups and issue tracking.

  • Maintain organized records of filings, notices, and compliance documentation.
  • Assist with tracking deadlines for tax submissions and regulatory requirements.
  • Financial \& Administrative Support

  • Support daily financial operations including data entry, tracking expenses, and document management.
  • Assist with accounting system updates and financial recordkeeping.
  • Organize financial statements, reports, and internal documentation.
  • Maintain structured digital filing systems for all finance and tax\-related records.
  • Assist with budgeting support and basic financial analysis as needed.
  • Contract \& Upwork Management

  • Manage and coordinate
  • contracts and freelancers on Upwork.

  • Post jobs, review applicants, and assist in contractor selection.
  • Track contractor deliverables, timelines, and payments.
  • Ensure contract compliance and proper documentation.
  • Communicate with freelancers to ensure work quality and deadlines are met.
  • Operations \& Coordination

  • Coordinate across multiple companies and entities to ensure smooth workflow.
  • Assist with proposal preparation, document formatting, and internal communications.
  • Support leadership with administrative and operational tasks as needed.
  • Help manage high\-volume workload across concurrent projects.
  • Qualifications

    Education:

    Associate or Bachelor’s degree in Business, Accounting, Finance, or related field preferred

    Required Skills \& Experience

  • Strong computer proficiency (Excel, Google Sheets, document management tools).
  • Basic understanding of finance, accounting, and tax concepts.
  • Experience handling administrative or financial coordination tasks.
  • Familiarity with IRS processes or willingness to learn quickly.
  • Experience with contractor platforms (preferably Upwork) is a plus.
