The Executive Assistant to the Mayor of Sauk Village serves as a trusted administrative and strategic support professional responsible for facilitating efficient daily operations of the Mayor's office. This role provides high\-level support including scheduling, communications, document management, and coordination with internal departments, elected officials, and community stakeholders. The ideal candidate is proactive, highly organized, and capable of maintaining confidentiality while managing a fast\-paced and dynamic office.
Essential Duties and Responsibilities
\- Serve as the primary point of contact for the Mayor's Office, managing internal and external communications with professionalism and discretion.
\- Maintain the Mayor's calendar, coordinate meetings, briefings, events, and travel logistics.
\- Draft, edit, and proofread correspondence, reports, speeches, and public statements.
\- Prepare agendas and materials for meetings and public appearances; attend meetings and take minutes when required.
\- Monitor and prioritize incoming requests, inquiries, and concerns from residents, businesses, and officials.
\- Liaise with Village departments to support interdepartmental coordination and ensure timely follow\-up on issues and initiatives.
\- Assist with research, policy analysis, and project tracking to support strategic planning and decision\-making.
\- Maintain organized filing systems for records, contracts, and sensitive materials in compliance with FOIA and local government standards.
\- Coordinate with the Village Clerk and Board of Trustees on matters of governance, meeting schedules, and documentation.
\- Represent the Mayor's Office at meetings or events when delegated.
\- Bachelor's degree in Public Administration, Political Science, Communications, or a related field (Master's preferred).
\- Minimum 3\-5 years of experience in executive\-level administrative support, preferably in a government or public service setting.
\- Exceptional organizational, written, and verbal communication skills.
\- Proven ability to manage confidential and time\-sensitive information with integrity.
\- Proficiency in Microsoft Office Suite, Google Workspace, and virtual meeting platforms (Zoom, Teams, etc.).
\- Strong interpersonal skills and the ability to work with diverse constituencies.
\- Knowledge of municipal operations, procedures, and protocol is highly desirable.
\- Ability to work flexible hours, including evenings and weekends as needed.
