Overview
We are seeking a dynamic and highly organized Office Manager / Bookkeeper to join our team! This vital role combines administrative excellence with financial oversight, ensuring the smooth operation of our office environment while managing essential bookkeeping functions. Responsibilities
- Oversee daily office operations, including front desk management, multi\-line phone systems, and calendar scheduling to ensure seamless communication and organization.
- Manage vendor relationships, negotiate contracts, and coordinate services to support office needs and special events.
- Handle bookkeeping duties using QuickBooks or similar accounting software, including invoicing, expense tracking, bank reconciliations, and financial reporting.
- Supervise administrative staff and provide training \& development opportunities to promote team growth and efficiency.
- Coordinate event planning activities such as meetings, workshops, and community outreach events to foster engagement and professional development.
- Manage human resources functions including onboarding new employees, maintaining personnel files, processing payroll, and supporting HR compliance initiatives.
- Maintain accurate filing systems, handle clerical tasks such as data entry and document management, and ensure all administrative processes are compliant with organizational standards.
- Proven experience in office management combined with strong bookkeeping skills using QuickBooks or similar software.
- Demonstrated supervising experience with the ability to lead and motivate a team effectively.
- Excellent communication skills with a professional phone etiquette and the ability to handle multiple priorities efficiently.
- Strong organizational skills with attention to detail in scheduling, filing, and record keeping.
- Experience in event planning, vendor management, budgeting, and human resources functions such as payroll processing.
- Knowledge of medical office management or healthcare administration is a plus but not required.
- Ability to manage front desk operations including multi\-line phone systems and calendar management while providing exceptional customer service.
