Job Summary

Wylde Vacation Rentals manages over fifty vacation rental properties in Sedona, AZ. Our goal is to ensure that every guest has an amazing five\-star experience, and to provide owners with the confidence that their property is maintained to the highest standards while maximizing revenue. We have a team of eight employees and over 20 contracted housekeepers that take pride in contributing to this goal every day. In this role, you will assist the company owner with daily administrative and strategic tasks.

Responsibilities:

  • Respond to emails
  • Daily summary of important email activity and items that require attention
  • Inbox maintenance (file or delete messages, update filters, unsubscribe)
  • Calendar management
  • Develop new processes to streamline operations and improve quality
  • Electronically file important documents; maintain and expand filing system
  • License and insurance applications, renewals, and monitoring
  • Prepare and send documents to clients for electronic signature; maintain electronic files of signed documents
  • Research (solving a problem; finding solutions; products or services; improving a process)
  • Travel reservations
  • Order office supplies
  • Assist with onboarding new listings: permit applications; compliance; establish service with vendors; integrate new listing into our software suite; coordinate with property owners to order necessary items
  • Contact guests to transfer reservations from old listing to new listing
  • Updates to listings
  • Assist with marketing logistics (mail campaigns, etc.)
  • Run payroll biweekly
  • Onboard new employees and contractors
  • Interface with bookkeeper to prepare monthly client reports
  • Send monthly reports to clients
  • Pay and categorize bills
  • Assist with tax compliance
  • Guest charges and refunds
  • Expense management: classify expenses; ensure employee expense reports are completed on time; notify when expense reports are ready for final review
  • Client and employee gifts
  • Troubleshoot tech problems (interface with support for software suite, office Internet, etc.)
  • Monitor post\-stay feedback from guests, and ensure our team addresses the feedback
  • Requirements:

  • Relevant experience
  • Impeccable written and verbal English
  • Organize your schedule and effectively prioritize tasks. Keep track of long\-term projects
  • Observant and proactive
  • Develop and retain understanding of company systems, processes, and protocols so that you are able to make decisions independently

  • Able to securely handle confidential accounts and documents; familiar with authenticator and password management apps
  • Fluent in Apple apps (Notes, Pages, Numbers, Mail), Google Workspace (Docs, Sheets, Meet, file management)
  • If not already familiar, then able to learn Asana, Slack, Docusign, Hostaway, Breezeway
  • Able to quickly navigate, format, and design spreadsheets
  • Compensation and Schedule:

  • W2 employee, $30/hour
  • 10–20 hours per week, Monday through Friday between 9 AM and 5 PM MST (specific schedule within that timeframe is open to discussion)

Pay: $30\.00 per hour
