Position Summary
The Accounting and Administrative Assistant supports the accounting department and front office operations by performing accounts payable functions, processing incoming and outgoing payments, and providing general administrative and reception support. This role is responsible for handling incoming mail, depositing checks, scanning and processing payables, greeting visitors, and answering phones. The position requires strong organizational skills, attention to detail, and proficiency with office and accounting software.
Key Responsibilities
Accounting Support
- Process incoming vendor invoices.
- Scan and maintain accounts payable documentation.
- Process outgoing vendor payments.
- Process and record incoming customer payments.
- Maintain accurate financial and administrative records.
- Answer incoming phone calls and direct calls appropriately.
- Greet visitors and provide front office reception coverage.
- Open, sort, and distribute incoming mail.
- Prepare and distribute outgoing mail.
- Provide data entry and administrative support for other departments.
- Provide backup support for other accounting and administrative functions as needed.
- Maintain effective communication with supervisors regarding significant issues and events.
- Respond to emails and voicemail in a timely and professional manner.
- Maintain a helpful and friendly working relationship with employees and visitors.
- Maintain confidentiality of company information.
- Communicate professionally with leadership via phone, email, and virtual meetings.
- Demonstrate the ability to learn and adapt to new software and systems.
- Maintain a high level of accuracy and attention to detail.
- Build positive working relationships with internal and external contacts.
- Manage multiple tasks and deadlines effectively.
- Demonstrate a commitment to excellent customer service and continuous professional development.
- Three to five years of general office or administrative experience preferred.
- Strong verbal and written communication skills.
- Ability to manage multiple responsibilities while maintaining professionalism.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Experience with accounting software preferred.
