Responsibilities
- Serve as the first point of contact at the front desk, greeting visitors and directing them appropriately with professional phone etiquette.
- Manage multi\-line phone systems efficiently, handling inquiries and routing calls with clarity and courtesy.
- Oversee calendar management, scheduling appointments, meetings, and coordinating logistics for staff and executives.
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office software tools.
- Handle clerical duties such as filing, proofreading documents, organizing supplies, and managing correspondence.
- Assist with bookkeeping, human resources, and safety tasks,
- Support office management functions including supply ordering, maintaining cleanliness, and ensuring equipment functionality.
- Proven experience in office administration or clerical roles with strong organizational skills.
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Demonstrated ability to manage multiple priorities efficiently while maintaining attention to detail.
- Strong customer service skills with the ability to communicate effectively both verbally and in writing; bilingual abilities are a plus.
- Experience with phone etiquette, data entry, filing systems, and proofreading documents.
- Familiarity with office management practices such as calendar management, time management strategies, and basic bookkeeping using QuickBooks or similar tools.
- Previous experience in roles such as medical or dental receptionist or personal assistant is advantageous but not required.
