Responsibilities

  • Manage front desk activities, greeting visitors and directing them appropriately with excellent phone etiquette.
  • Operate multi\-line phone systems efficiently to handle inquiries, schedule appointments, and relay messages promptly.
  • Maintain organized filing systems, both physical and digital, ensuring easy access to important documents.
  • Perform data entry using computer skills in programs such as Microsoft Office, ensuring accuracy and timeliness.
  • Provide customer service support by addressing inquiries professionally and assisting with clerical or administrative needs.
  • Proofread correspondence and documents for clarity, accuracy, and professionalism before distribution.
  • Assist with office management duties such as ordering supplies, maintaining equipment, and overseeing general office organization.
  • Support additional duties like filing, photocopying, data entry, and supporting personal assistant or medical/dental receptionist functions as needed.
  • Project Assistance (As Needed):

  • Provide minimal support for project data tracking or filing as requested.
  • Assist with gathering information from multiple sources for reporting.
  • Qualifications

    * Experience: 1–2 years of experience as an administrative assistant or in a similar professional office role. \*Experience in a construction environment is a strong plus.

    * Technical Skills: Proficiency in Microsoft Office 365\. Familiarity with construction\-specific software (e.g., Procore, Microsoft Project, or Simpro) is highly desirable.

    * Soft Skills: Exceptional organizational skills, attention to detail, and the ability to work independently with sound judgment and discretion.

  • Demonstrated time management skills with the ability to prioritize tasks efficiently.
  • Strong computer literacy combined with excellent phone etiquette and organizational skills.
  • Must have a valid Driver’s License and reliable transportation.
  • Must be able to pass a background check, drug screening, and MVR (driving record) check.
