Duties

  • Greet visitors warmly and direct them appropriately, ensuring a professional and friendly atmosphere at all times
  • Manage multi\-line phone systems, screen calls, and relay messages efficiently with proper phone etiquette
  • Handle incoming correspondence, including emails and mail, with accuracy and promptness
  • Maintain organized filing systems, data entry records, and document proofreading to support administrative functions
  • Schedule appointments, manage calendars, and coordinate meetings using tools like Google Workspace and Microsoft Office
  • Assist with office management tasks such as supply inventory, equipment maintenance, and basic bookkeeping using QuickBooks or similar software
  • Provide customer support by answering inquiries, offering information about services or products, and supporting client needs
  • Requirements

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent typing speed and data entry skills for efficient record keeping
  • Experience with multi\-line phone systems and phone etiquette to handle high call volumes professionally
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Knowledge of office management practices including filing systems, proofreading documents, and calendar management
  • Customer service orientation with a friendly demeanor and strong communication skills
  • Prior experience as a receptionist in medical or dental offices is a plus but not required; relevant personal assistant experience is also valuable
  • Ability to manage time effectively in a fast\-paced environment while maintaining attention to detail
