Real Estate Administrative Assistant
Full\-Time \| 30–40 Hours/Week \| In\-Person – Bozeman, MT

We’re seeking a highly organized, detail\-oriented, and licensed Real Estate Administrative Assistant to support the daily operations of a growing real estate business in Bozeman. This in\-person, hourly position (30–40 hours/week) is ideal for someone who enjoys structure, takes initiative, and thrives in a dynamic environment.
You’ll gain real, hands\-on exposure to client representation, negotiations, listings, and closings, all under the supervision of the lead agent. You’ll also assist with transaction coordination, marketing, and systems management. This is not an outbound lead generation role; the focus is entirely on delivering an exceptional client experience, supporting seamless operations, while connecting with and nurturing inbound prospects. This is an in\-person support role; while this is largely an administrative roll, it will entail being in the field depending on business needs.
A Real Estate Salesperson license is not required to start, but you must be able to obtain one within 3 months of hire. Candidates who already hold an active Montana real estate license are strongly preferred.

Key Responsibilities
- Coordinate real estate transactions from contract to closing, including communication with clients, lenders, title officers, appraisers, and vendors
- Assist with listing management: prepare listing materials, coordinate photography, staging, signage, and MLS input
- Assist with drafting offers, amendments, inspection notices, and other transaction documents under the direction of the lead agent
- Maintain and organize client database (FollowUpBoss, Airtable) and digital transaction files (KW Command, Google Drive)
- Communicate proactively with clients through Welcome Emails, weekly Friday updates, and milestone check\-ins
- Support marketing efforts, including social media scheduling, database emails, client facing marketing materials, and online presence management
- Track lead activity and assist with outbound marketing follow\-up systems
- Coordinate and enhance the client experience from first contact through post\-closing follow\-up
- Candidates must be currently located in the Bozeman area and be able to commute to/within the Bozeman area.
- Active Montana real estate salesperson license preferred; candidates without a license must be able to obtain a license within 3 months of hire. Candidates must meet all Montana State requirements to obtain a license.

- Comfortable managing multiple priorities and deadlines in a fast\-moving environment
- Tech\-savvy with experience using digital tools and platforms; experience with FollowUpBoss, Airtable, or KW Command is a plus
- Prior real estate or administrative assistant experience is a plus, but not required
- Prior customer\-facing or service\-oriented experience preferred
- Graphic design, marketing, or social media experience is a plus
