We are seeking a dynamic and highly organized Personal Assistant to support executive leadership and ensure smooth daily operations. Responsibilities
- Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
- Coordinate and plan events, including logistics, vendor communication, and onsite arrangements to ensure successful execution.
- Provide executive administrative support by preparing correspondence, reports, and presentations with accuracy and professionalism.
- Handle phone etiquette expertly across multi\-line phone systems, screening calls and directing inquiries efficiently.
- Perform data entry, bookkeeping using QuickBooks, and maintain meticulous filing systems both digitally and physically.
- Oversee office management duties such as supply inventory, front desk reception, and maintaining a welcoming environment.
- Conduct transcription, proofreading, and document review to ensure clarity and correctness in all communications.
- Support project coordination efforts by tracking deadlines, preparing agendas, and facilitating team collaboration.
- Utilize office software including Microsoft Office Suite (Word, Excel), Google Workspace tools, and DocuSign for document signing and management.
- Maintain confidentiality while managing sensitive information related to personal schedules or company operations.
- Proven experience as a Personal Assistant or in an administrative support role with excellent organizational skills.
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), QuickBooks, and data entry tools.
- Exceptional typing speed combined with transcription skills for accurate note\-taking and documentation.
- Demonstrated ability in event planning, project coordination, office management, and clerical tasks.
- Excellent phone etiquette across multi\-line phone systems with professional communication skills.
- Experience in bookkeeping or basic accounting using QuickBooks is preferred but not required.
- Ability to multitask efficiently while maintaining attention to detail under tight deadlines.
