Schedule: 7:30 AM – 3:30 pm (Full\-time: 5 days; Part\-time: 3 days)

Position Summary: We are seeking a highly organized, proactive, and dependable Administrative \& Executive Assistant to provide direct support to the President and upper\-level management to ensure smooth daily operations within our engineering and construction office. This hybrid role blends executive assistance, office administration, and light social‑media support.

KEY RESPONSIBILITIES:
Executive Support\- Manage the President’s calendar, appointments, reminders, and inbox.\- Coordinate travel and logistics.\- Screen calls and in‑office requests.\- Prepare meeting materials, take notes, and track deliverables.\- Maintain organized filing systems.\- Assist with project coordination, deadline tracking, and documentation.\- Handle personal scheduling tasks.\- Provide occasional after‑hours support.
Office \& Administrative Operations\- Answer and route main office phone; greet visitors.\- Manage office supplies and vendor coordination.\- Oversee office organization.\- Support onboarding of new employees.\- Maintain office policies and procedures.\- Light bookkeeping/data entry\- Coordinate internal events and meetings.
Social Media \& Marketing Support\- Assist with posting, reviewing or scheduling content.
QUALIFICATIONS
Required Skills \& Tools\- Proficiency in Microsoft Outlook, Teams, Word, Excel, PowerPoint, SharePoint, OneDrive.\- Excellent communication skills.\- Strong organization and detail orientation.\- Ability to maintain confidentiality.\- Professional interaction with clients, vendors, and staff.\- Adaptability, proactivity, and strong judgment.
Preferred Skills\- Experience in engineering, construction, or professional service industries.\- Mid‑level experience preferred; entry‑level and senior‑level candidates considered.
