Job Summary

We are seeking a proactive and highly organized Personal Assistant to provide comprehensive administrative support to our executive team. This dynamic role involves managing schedules, coordinating projects, handling correspondence, and ensuring smooth office operations. The ideal candidate will be a detail\-oriented professional with excellent communication skills, adept at multitasking in a fast\-paced environment. Your energetic approach will help streamline daily activities, allowing our leadership to focus on strategic priorities and growth initiatives.

Responsibilities

  • Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements efficiently
  • Coordinate complex projects by tracking deadlines, preparing reports, and liaising with internal teams and external partners
  • Handle all aspects of office management including filing, data entry, bookkeeping using QuickBooks, and overseeing office supplies inventory
  • Provide executive administrative support such as drafting correspondence, proofreading documents, transcribing meetings, and preparing presentations
  • Organize events and meetings from planning stages to execution, including venue booking, catering arrangements, and attendee communication
  • Manage multi\-line phone systems with professionalism while practicing excellent phone etiquette to handle inquiries and direct calls appropriately
  • Maintain meticulous records through filing systems and data entry tasks; ensure confidentiality of sensitive information at all times
  • Requirements

  • Strong organizational skills with the ability to prioritize tasks effectively in a busy environment
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools, and familiarity with Microsoft Outlook Calendar
  • Exceptional communication skills demonstrating professional phone etiquette and customer service excellence
  • Ability to handle multiple projects simultaneously while maintaining attention to detail and meeting deadlines
