Duties
- Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
- Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
- Provide comprehensive administrative support such as drafting correspondence, proofreading documents, transcribing meetings, and preparing reports.
- Handle incoming calls with professionalism using multi\-line phone systems and phone etiquette; direct inquiries appropriately.
- Organize and maintain filing systems—both digital and physical—ensuring easy retrieval of important documents.
- Assist with event planning for company meetings, conferences, and team\-building activities, including logistics coordination and vendor communication.
- Support bookkeeping tasks using QuickBooks or similar software; manage invoicing, expense reports, and basic data entry to ensure accurate financial records.
- Oversee office management duties such as supply procurement, front desk responsibilities, and maintaining a welcoming environment for visitors.
- Coordinate project activities across departments to ensure deadlines are met; facilitate communication between team members for efficient project execution.
- Utilize Microsoft Office Suite (Word, Excel, PowerPoint) for creating presentations, spreadsheets, and reports that meet professional standards.
- Proven experience as an executive assistant or in a similar administrative role with at least two years of office management or clerical experience.
- Strong organizational skills with the ability to multitask effectively in a fast\-paced setting.
- Excellent written and verbal communication skills; high proficiency in phone etiquette and customer service principles.
- Demonstrated computer literacy with expertise in Microsoft Office (Word, Excel, PowerPoint), Google Workspace tools (Gmail, Docs), and data entry systems.
- Experience with calendar management tools such as Microsoft Outlook Calendar or Google Calendar is essential.
- Familiarity with bookkeeping software like QuickBooks; basic knowledge of bookkeeping practices is preferred.
- Ability to handle confidential information discreetly while maintaining professionalism at all times.
- Strong attention to detail for proofreading documents and ensuring accuracy in transcription tasks.
- Experience supporting project coordination efforts across teams; adept at managing multiple priorities simultaneously.
- Knowledge of office procedures including filing systems, office equipment operation (fax, copier), and front desk duties.
