Position Summary

Defense Holdings, Inc. (DHi) is seeking a proactive and highly organized Executive Administrative Assistant to provide comprehensive support to senior leadership. The ideal candidate will manage calendars, correspondence, reports, and office operations to ensure executives can focus on strategic priorities.

This role requires exceptional organizational skills, professionalism, discretion, and the ability to manage multiple priorities in a fast\-paced environment.

Key ResponsibilitiesExecutive Support

Manage executive calendars, schedule meetings, and coordinate travel arrangements.

Prepare presentations, reports, and correspondence for leadership.

Screen and prioritize communications to ensure timely responses.

Office \& Administrative Coordination

Coordinate office operations including supplies, meeting logistics, and documentation.

Support internal communications and document management.

Assist with event planning and executive team initiatives.

Reporting \& Documentation

Maintain organized records of executive activities and office documents.

Generate administrative reports and performance tracking as needed.

Assist leadership with documentation for projects and initiatives.

Cross\-Functional Coordination

Work with internal teams to support executive initiatives and decision\-making.

Facilitate communication and collaboration across departments.

Required Qualifications

Bachelor’s degree in Business Administration, Office Management, or related field.

3–5 years of executive administrative or office support experience.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Strong organizational, communication, and time management skills.

Ability to manage confidential information with discretion.

Preferred Qualifications

Experience supporting leadership in government contracting or defense environments.

Familiarity with office operations and executive reporting systems.

Experience managing cross\-functional administrative projects.
