What you'll be doing
- Own weekly budget updates, monthly/annual financial projections, and financial decision\-making by reviewing bookkeeper reports, QuickBooks data, and P\&L performance to keep leadership informed on runway, cashflow, and resource allocation.
- Oversee payroll operations by reviewing timesheets, coordinating pay runs, and maintaining clean documentation and processes for a remote team.
- Lead people operations for a distributed team—conducting regular check\-ins and supporting team coordination with leadership.
- Maintain HIPAA compliance operations, including coordinating the annual HIPAA compliance audit and supporting ongoing team HIPAA training and supervision.
- Coordinate key filing and compliance tasks such as franchise fee/tax filings and supporting tax prep by organizing documentation and partnering with external CPAs.
- Own contract and agreement workflows—signing agreements, updating/editing documents for client requests, and keeping records organized and up to date.
- Drive project and tool management across the org, including Monday.com administration (boards, user management, reporting) and supporting tech\-forward workflows.
- Support marketing and web operations as needed, including Kit (ConvertKit) setup/management, domain management, and web development project coordination (attending meetings, assigning tasks, and tracking progress).
- Manage core operational logistics and team administration—handling scheduling, communications, and administrative coordination to keep the team running smoothly.
- Proven experience as a people manager, with the ability to coach, support, and hold a small team accountable while collaborating cross\-functionally with leadership.
- Strong project management skills—able to manage multiple workstreams at once, prioritize effectively, and keep initiatives moving forward in a fast\-paced, tech\-forward environment.
- Financial and operational aptitude, including comfort reviewing reports, tracking budgets and projections, monitoring cash flow, and staying organized across recurring operational processes.
- High attention to detail and reliability when handling sensitive, compliance\-related work (including HIPAA\-related training, audits, and documentation) and operational risk.
- Tech\-savvy and quick to learn new tools and workflows.
- A "jack\-of\-all\-trades" mindset—willing to be scrappy and do both strategic and hands\-on work, from improving systems to handling urgent admin needs.
- Experience managing people and overseeing direct reports in a remote environment
- Strong project management skills with excellent prioritization and stakeholder alignment
- Proficiency with Monday.com, Excel, QuickBooks, and Google Workspace (G Suite)
- Working knowledge of financial and operational workflows (budgeting, P\&Ls, cash flow, payroll)
- Ability to quickly learn new tools and processes in a tech\-forward, remote\-first environment
- Availability to work \~10 hours/week and be responsive within 8:00am–6:00pm CST
- Familiarity with PandaDoc, Help Scout, Clockify, Kit (ConvertKit), and/or Jira
- HIPAA compliance or training experience
- Experience managing web development teams or scrum processes
- Part\-time schedule (10\-15 hours/week)
