LOCATION: New York, NY area preferably, or fully remote
POSITION SUMMARY
The Programs Assistant is responsible for providing administrative support of the League’s programs operation. Preference is that this position be based in the New York City area, home to the League’s headquarters. The position can also be fully remote, as there is no requirement to routinely be in the physical office. There is the potential to participate in on\-site programming in New York City, in which case travel would be covered if necessary. This is a part\-time position averaging 10 hours per week. This position is grant\-funded available through at least June 30, 2027\.
POSITION DUTIES AND RESPONSIBILITIES
The duties that follow represent the primary responsibilities for this role. All employees are responsible for performing other duties as assigned. Primary responsibilities for this role include the following for in\-person and online event management:
- Coordinating plans and execution of League leadership and learning programs.
- Confirming topics and liaising with speakers, as necessary.
- Creating participant materials for folders, including participant and faculty look books, location guides, and other handouts.
- Supporting the development and preparation of meeting materials and documentation.
- Supporting the creation of online resource library and evaluation.
- Assisting with the creation of evaluation reports and analysis.
- Creating WhatsApp group for participants.
- Data collection, management, and communication.
- Prior experience providing administrative assistance, with orchestral experience a plus.
- Demonstrated willingness and ability to manage multiple tasks simultaneously.
- Proficiency in Microsoft Office Word, Excel, and Outlook.
- Interest in the mission and work of American Orchestras.
- Interest in leadership development, arts administration, and program management.
- Excellent written and verbal communication skills.
- Attention to detail in all aspects of work.
- Good time management skills and ability to work independently.
- This role requires the routine use of standard office equipment such as computers, phones, photocopiers, and printers.
- This role requires using the English language to engage with internal and external stakeholders by phone, email, and in person. Employee is expected to be able to accurately exchange information with these stakeholders.
