General Purpose: Serve as the first contact for clients who call or walk into our office and provide assistance to the Compliance and Administrative Services Departments.

Supervisory Responsibilities: None

Reports To: Manager of the Compliance \& Administrative Services Department

Essential Duties / Responsibilities include:

  • Customer service via telephone, email, and in\-person contact
  • Responsible for unlocking/locking the front entrance area each day
  • Serve as the main point of contact/receptionist for all walk\-in clients
  • Serve as the operator on a multi\-line phone system
  • Scan and send documents to employees or save documents to the server
  • Sort, handle, and/or forward all incoming emails delivered to the company's main email address that cannot be handled through our management software, and regularly audit the email box for problematic delivery issues.
  • Sort and distribute incoming mail and track who will be taking the outgoing mail each day
  • Maintain a calendar of office activities, meetings, and various events
  • Schedule meetings and arrange for room set up; ensure necessary materials are available at meetings
  • Order office supplies, keep items stocked, and process returns as necessary
  • Attend and participate in bi\-monthly staff meetings and related activities
  • Perform a variety of general clerical duties including data entry, maintaining and filing records, verifying accuracy of information, and recording information as needed
  • Provide back\-up to the Accounting Department regarding the intake of customer payments
  • Other administrative tasks for various departments as needed
  • Participate and assist in the administration of the office, recommend procedural changes affecting office function as applicable
  • Operate modern office machines and equipment, including PCs, management software, Office 365, printers, and copiers; routine use of office software applications
  • Adhere to safe workplace practices and procedures.
  • Required Knowledge, Skill, and Ability:

  • SUPERIOR and instinctual knowledge of English word usage, spelling, grammar, vocabulary, and punctuation required
  • Knowledge of standard office procedures, methods, and equipment
  • Skill to operate modern office equipment
  • Skill to type and enter data at a speed necessary for successful job performance (minimum 45 WPM)
  • Ability to deliver courteous and professional customer service
  • Ability to learn the procedures and functions of the assigned position
  • Ability to plan and organize work to meet schedules and timelines
  • Ability to understand and follow oral and written instructions
  • Ability to communicate clearly and concisely, both orally and in writing
  • Ability to establish, maintain and foster positive and harmonious working relationships with others in the course of work
  • Ability to maintain confidentiality
  • Education and Experience:

  • Equivalent to a high school education, experience in an office setting, or one to two years of related experience. A diploma from an accredited college or university is a plus.
  • Knowledge of metropolitan districts, homeowners associations, board meetings, and real estate is a plus.
  • Material and Equipment Directly Used:

  • Must be able to operate a PC, management software, Microsoft Office 365, e\-mail, telephone, copy machine, and printer
  • Working Environment/Physical Activities:

  • Sit at a desk up to 9 hours a day
  • Workday is varied with a standard day of 9 hours and every other Friday off
  • Able to lift up to 25 lbs.
  • Pay: $18\.00 \- $19\.00 per hour

  • Our work schedule is Monday through Thursday, 8:00 a.m. to 5:00 p.m. During the first week of payroll, we work from 8:00 a.m. to 3:00 p.m., and we are closed on the second Friday of payroll. Can you accommodate this schedule?
  • This position is an entry\-level position. Is $18\-$19 per hour within your pay expectations?
  • This is a temp\-to\-hire position. Are you open to a temp\-to\-hire position?
