We are seeking a dynamic and highly organized Secretary to join our team, providing essential administrative support to ensure smooth daily operations. As the backbone of our office, you will play a vital role in supporting management and team members through effective office management, scheduling, and correspondence.

Responsibilities

  • Manage front desk operations, greeting visitors and directing them appropriately with courteous phone etiquette.
  • Operate multi\-line phone systems to handle incoming calls efficiently, transferring or taking messages as needed.
  • Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents and records.
  • Schedule appointments, coordinate calendars, and manage meeting arrangements for staff and executives.
  • Perform data entry tasks using Microsoft Office Suite and Google Workspace to update records accurately.
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping.
  • Provide excellent customer support by addressing inquiries promptly and professionally, ensuring high levels of customer satisfaction.
  • Handle clerical duties such as proofreading documents, preparing correspondence, and managing office supplies inventory.
  • Support office management activities including organizing files, maintaining office equipment, and overseeing general administrative functions.
  • Support personal assistant responsibilities when required, including travel arrangements and personal errands for executives.
  • Requirements

  • Proven experience in an office environment or as a secretary with strong clerical skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and basic computer literacy.
  • Experience with multi\-line phone systems and front desk operations demonstrating excellent phone etiquette.
  • Bilingual abilities are highly desirable to assist diverse client needs effectively.
  • Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively.
  • Familiarity with QuickBooks or bookkeeping software is preferred but not mandatory.
  • Excellent proofreading skills to ensure accuracy in all written communications.
  • Previous experience in customer service or customer support roles emphasizing professionalism and patience.
  • Knowledge of medical or dental receptionist duties is a plus for healthcare\-related positions.
  • Personal assistant experience or calendar management skills are advantageous for supporting executive needs.
