Responsibilities
- Provide comprehensive administrative support to executives, including calendar management, email correspondence, and travel arrangements using tools like Microsoft Outlook Calendar and Google Workspace.
- Coordinate and oversee office operations, including supply procurement, filing systems, front desk duties, and maintaining a welcoming environment for visitors and staff.
- Manage event planning logistics for meetings, company events, and community outreach initiatives, ensuring all details are executed flawlessly.
- Handle bookkeeping and financial tasks such as data entry, invoicing, expense tracking with QuickBooks, and basic bookkeeping duties.
- Support project coordination efforts by tracking deadlines, preparing reports, proofreading documents, and assisting with transcription tasks.
- Maintain professional phone etiquette across multi\-line phone systems while providing excellent customer service to clients and visitors.
- Organize files digitally and physically through efficient filing systems; ensure confidentiality of sensitive information at all times.
- Utilize office software including Microsoft Office Suite (Word, Excel), Google Workspace applications, and DocuSign for document signing processes.
- Assist with personal tasks for executives as needed, acting as a reliable personal assistant to enhance productivity.
- Proven experience in executive administrative support combined with office management responsibilities.
- Strong organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment.
- Excellent communication skills—both verbal and written—with professional phone etiquette.
- Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), QuickBooks, and data entry tools.
- Demonstrated experience in event planning, project coordination, clerical work, proofreading, transcription, filing systems, and front desk operations.
- Knowledge of multi\-line phone systems and Microsoft Outlook Calendar for scheduling efficiency.
- Ability to handle bookkeeping tasks such as invoicing and expense tracking using QuickBooks or similar software.
- Attention to detail in proofreading documents and ensuring accuracy in all work outputs.
- Experience with office equipment operation including fax machines, scanners, and office supplies management.
