Scheduling Coordinator (Full\-Time \| Remote Option)

About the Role

We are seeking an administrative assistant who thrives in a fast\-paced environment, is detail\-oriented, and enjoys supporting a team that makes a real impact. This individual will be responsible for managing daily operations, answering phone calls, supporting with questions from clients or partners, and maintaining clear communication across the organization.

Responsibilities:

  • Ensure all client sessions are staffed and confirmed daily
  • Communicate schedule changes promptly and professionally
  • Maintain accurate records of staff availability and client hours
  • Collaborate with supervisors to address scheduling gaps or conflicts
  • Support administrative tasks related to scheduling and reporting
  • Requirements:

  • Strong leadership skills and ability to work independently and interdependently
  • Support day\-to\-day administrative operations of the organization, ensuring efficient workflow and communication.
  • Assist with client intake processes, including organizing documents, sending intake packets, and maintaining client records.
  • Maintain and organize electronic files and documentation in accordance with company and compliance standards.
  • Support communication with families, staff, and service coordinators, responding to general inquiries and routing messages appropriately.
  • Assist with scheduling support, including coordinating appointments, meetings, and staff calendars when needed.
  • Provide administrative assistance with billing preparation and documentation tracking as directed by leadership.
  • Monitor and organize incoming emails and office correspondence to ensure timely responses and follow\-ups.
  • Assist leadership with data entry, reports, and administrative projects as needed.
  • Help maintain office organization, supply tracking, and general administrative support for the team.
  • Minimum of 1–2 years of administrative experience (preferably in healthcare or behavioral services)
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office
  • Professional and compassionate approach when working with staff and families
