Duties

  • Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi\-line phone systems, answer inquiries promptly, and route calls efficiently
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
  • Handle filing, proofreading documents, and organizing office supplies to ensure a clutter\-free workspace
  • Support calendar management by scheduling appointments, meetings, and reminders for staff and executives
  • Assist with bookkeeping tasks including invoicing, expense tracking, and basic financial recordkeeping
  • Provide exceptional customer service by supporting clients via phone or email and addressing their needs promptly
  • Coordinate office management tasks such as supply orders, mail distribution, and maintaining office equipment
  • Support personal assistant duties when needed, including travel arrangements or special project support
  • Requirements

  • Proven experience in office management or administrative roles with strong clerical skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
  • Familiarity with QuickBooks for bookkeeping and financial recordkeeping
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Strong typing skills along with attention to detail for proofreading and data entry tasks
  • Bilingual abilities are highly desirable to support diverse client needs
  • Experience working as a dental or medical receptionist is a plus but not required
  • Demonstrated ability to handle multi\-line phone systems and manage front desk responsibilities with professionalism
  • Knowledge of office equipment operation including printers, scanners, and fax machines
  • Exceptional customer service skills combined with courteous phone etiquette and interpersonal communication
