Location: 6030 East Independence Blvd, Charlotte, North Carolina 28212 Hendrick Automotive Group is seeking a highly organized and detail\-oriented Administrative Assistant to join our VP of Dealership Accounting and Consolidated Accounting Office Onsite in Charlotte, NC!
The Administrative Assistant plays a crucial role in supporting our VP of Dealership and the operations of the Charlotte Consolidate Accounting Office and this position combines a variety of administrative, secretarial, and meeting coordination responsibilities, providing essential support to our VP and the team ensuring smooth day\-to\-day operations.
Schedule:
- Full Time Business Hours (Monday to Friday 8:00am to 5:00pm)
- $28\.50\- 30\.50 per hour (Based on experience)
- Manage complex calendars, scheduling, and meeting coordination across multiple time zones
- Book travel arrangements including flights, hotels, and ground transportation
- Prepare and organize expense reports and reconcile receipts. This would be using both Concur and paper expense reports using Hendrick Policies.
- Maintain organized filing systems, both digital and physical. We use the Box Application for most of our filing procedures.
- Preparing and maintaining policy, project and presentation books. We do bind our books, and this will be the responsibility of the candidate.
- Draft, proofread, and send professional correspondence
- Screen and manage phone calls and meeting requests. We do not share our emails, just calendars.
- Communicate clearly and professionally at all levels of an organization and external relationships
- Advanced skills in Microsoft Word, Excel, and PowerPoint
- Familiarity with video conferencing tools (Zoom, Teams, etc.)
- Ability to learn new software and internal systems
- Experience with project management tools is a plus
- High level of discretion and confidentiality
- Ability to work independently with minimal supervision
- Strong problem\-solving and decision\-making skills
- Calm and composed under pressure in a fast\-paced environment
- Adaptable and flexible when priorities shift quickly
- Coordinate special projects and track deadlines
- Support office operations and team administrative needs
- Prepare agendas, take meeting minutes, and follow up on action items
- Manage relationships with vendors and external partners
- Perform any additional administrative or coordination tasks as needed to support the growth and efficiency of our VP and Accounting office.

- Maintains an organized, clean and safe work area

- Records all hours worked accurately in company timekeeping system

- Associates Degree, Bachelors or equivalent.
- 3\-5 years’ experience in executive administrative assistant ideally in a business or professional services environment.
- Advanced proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Proven experience in administrative in a fast\-paced environment with the ability to adapt to shifting meeting schedules and evolving processes.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team.
- A positive, proactive, and flexible attitude toward work.
