We are seeking a dynamic and highly organized Personal Assistant to provide comprehensive administrative support to executives and senior management. Duties
- Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
- Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
- Assist with event planning for meetings, conferences, and company functions, ensuring all logistics are handled seamlessly.
- Handle phone etiquette professionally across multi\-line phone systems, screening calls and directing inquiries appropriately.
- Perform data entry, filing, and document management using Microsoft Office tools and DocuSign for electronic signatures.
- Provide executive administrative support by preparing reports, proofreading documents, transcribing notes, and managing correspondence.
- Oversee office management tasks such as supply ordering, maintaining filing systems, front desk duties, and supporting overall office organization.
- Conduct bookkeeping activities using QuickBooks and handle basic bookkeeping tasks like invoicing and expense tracking.
- Support project coordination efforts by tracking deadlines, preparing agendas, taking minutes, and following up on action items.
- Maintain excellent customer service standards by assisting visitors at the front desk and managing communication channels effectively.
- Proven experience as a Personal Assistant or in an administrative support role with office management responsibilities.
- Strong organizational skills with the ability to prioritize tasks efficiently in a busy environment.
- Excellent typing speed combined with proficiency in Microsoft Office Suite (Word, Excel PowerPoint) and Google Workspace applications.
- Familiarity with QuickBooks for bookkeeping tasks and DocuSign for digital document signing processes.
- Exceptional phone etiquette skills across multi\-line systems along with professional communication abilities.
- Experience in event planning, project coordination, data entry, filing systems, and transcription is highly desirable.
- Demonstrated ability to handle confidential information discreetly with high attention to detail.
- Knowledge of office equipment operation including printers, scanners, fax machines, and multi\-line phones.
