About the Indo\-American Center: The Indo\-American Center (IAC) was established as a community based, 501(c)(3\) non\-profit organization in 1990 by a group of Indian immigrants seeking to respond to the needs of their fellow growing South Asian immigrant population. Located on Devon Ave, at the heart of “Little India” in the West Ridge neighborhood of Chicago, IAC is deeply rooted in the community it serves. IAC connects clients to resources and opportunities that improve their individual community and quality of life through direct service, outreach, education, access, and advocacy. IAC operates six core programs: public benefits connections, immigration legal services and citizenship, adult education and literacy, health literacy and education, a seniors’ program, and civic engagement and community organizing.
Job Summary: We are seeking an administrative assistant to join our team under the supervision of the Adult Education Program Manager. This role involves supporting the English as a Second Language and Volunteer Literacy programs; acting as first point\-of\-contact as a liaison for students; and handling various administrative tasks for the department. The ideal candidate will bring a passion for education; attention to detail; strong organizational skills; experience with computer software; and the ability to foster positive connections within the community.
Status: Part\-time, Non\-Exempt
Reports to: Adult Education Program Manager
Location: In\-person at Indo\-American Center M\-TH, with potential of Friday remote
Salary Range: $19/hour, 25 hours per week (M\-F 9am\-2pm)
Job Responsibilities
Student and Volunteer Management 50%: Primary Liaison for students ( questions regarding testing, tech platforms and administrative tasks)
- Coordinate student and volunteer registrations
- Administer tests for students and ensure accurate record\-keeping
- Monitor student attendance and performance, providing necessary follow\-up
- Monitor and record volunteer attendance and participation
- Direct student and volunteer calls to appropriate staff members
- Provide in\-language support for students including connecting students with staff translation as needed
- Maintain accurate class schedules in databases.
- Update internal and external spreadsheets and databases with program metrics data.
- Compile and generate reports for funders.
- Collaborate with funders to ensure data parity.
- Utilize data to assess program success.
- Collaborate with the Education Department team and IAC staff to promote Adult Literacy programs.
- Develop relationships with community partners to engage hard to reach community members
- Attend outreach/recruitment events
- Develop and maintain referral resources for our clients
- Curate and update bulletin boards to highlight program successes and showcase relevant resources
- Ensure ESL spaces are kept orderly and clean
- Maintain a well\-organized office environment and filing system
- Be a knowledgeable and confident resource for staff and funders
- High level of competency in Microsoft applications such as Word and Excel, Google
- Ability to manage multiple projects and meet deadlines.
- Ability to work both independently and as a team member
- Attention to detail, problem solving, and good time management skills
- Ability to work effectively with diverse program participants and staff
- Respect for others’ experiences, opinions, language, values, culture, and knowledge
- High level of English language proficiency (verbal and written)
- Second language proficiency required (Hindi/Urdu)

Data Reporting 30%: Accountable for ensuring consistency and accuracy in all student records
Outreach and Recruitment 10%: Serve as an ambassador for the ESL program
Department Resource 10%: Serve as an internal resource for ESL for funders and staff
