We are seeking a dynamic and organized Front Desk Receptionist / Employee Records specialist to be the welcoming face of our Skilled Nursing Facility while efficiently managing employee documentation and administrative tasks. Responsibilities
- Greet visitors and clients warmly, providing excellent customer service while managing multi\-line phone systems with professionalism and courtesy.
- Answer, direct, and screen incoming calls using phone etiquette best practices; transfer calls accurately or take detailed messages as needed.
- Manage employee records by maintaining accurate files, updating personal information, and ensuring compliance with company policies and State Regulations.
- Oversee calendar management for meetings, appointments, transportation and internal events.
- Perform data entry tasks with precision.
- Support administrative functions such as filing documents, proofreading correspondence, and organizing office supplies to ensure a tidy workspace.
- Assist with clerical duties including managing incoming mail.
- Provide general office support by coordinating schedules, managing office equipment, and ensuring smooth day\-to\-day operations.
- Proven experience in front desk reception or office administration roles; previous experience in medical or dental receptionist roles is a plus.
- Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and data entry software like QuickBooks.
- Excellent organizational skills with the ability to multitask effectively in a fast\-paced environment.
- Demonstrated customer service skills with a friendly demeanor and professional phone etiquette.
- Clerical experience including filing, proofreading, and document management; familiarity with medical or personal assistant responsibilities is advantageous.
- Ability to handle sensitive information discreetly while maintaining accuracy in record keeping.
