Administrative Assistant \- Encino

About Us:

Behavior Therapy Clinic is an Encino based company that provides services for individuals with Autism Spectrum Disorder, as well as related disorders and behavioral challenges. Applying the principles of Applied Behavior Analysis (ABA), we’ve developed individualized treatment programs for the home, school, and community settings.

We are currently looking for someone with strong administrative and communication skills to join our administrative team.

JOB SUMMARY:

  • The primary function of the Administrative Assistant position is to support BTC staff. The Admin Assistant supports regular office operations, fields phone calls, assists with hiring process for incoming applicants, assist with intake and tracking of parent referral information, and other tasks as assigned.
  • ESSENTIAL FUNCTIONS OF THE POSITION:

  • Work times: Generally 8 to 4:30pm, but may be shifted pending approval from Directors.
  • BTC office currently uses WebABA \& Welligent; experience with these programs is preferred, but not required
  • Experience with Word and Excel, including being able to create tracking charts, create Excel formulas, and complete moderate amounts of data entry
  • Strong ethical and confidentiality practices
  • Must be able to multi\-task, receiving project assignments from multiple administrators, and be able to determine priority of projects
  • Excellent communication skills; communicates regularly, professionally, and clearly with BTC administrators, Directors, Clinical Supervisors and Behavior Interventionists, vendors and funding sources, clients’ families, and other professionals.
  • Able to maintain calm, professional, and polite tone when communicating with BTC staff, funding sources, families, and other professional contacts
  • Must report to all management
  • TASKS AND AREAS OF RESPONSIBILITY may include:

  • Respond to phone calls, answering all lines and directing calls as appropriate
  • Assist with intake and tracking of parent referral information for clients looking for ABA services
  • Assist with hiring process, including updating charts, emailing offer letters to applicants, and other tasks as assigned
  • Track and distribute incident reports, including initial follow up with staff regarding times/dates completed for payroll
  • Track, manage, and submit administrative documents for clinical supervisors
  • Assist clinical supervisors with creating visual stimuli for clients
  • Assist with organizing company events
  • Qualifications:

  • At least 1 year of administrative experience
  • Excellent communication skills — written and verbal
  • Aptitude utilizing Word, Excel, and Google
  • Ability to prioritize projects and strong problem\-solving skills
  • Ability to multitask and accurately complete projects
  • Bilingual: Able to communicate effectively, verbally and in writing, in both Spanish and English is preferred but not mandatory
  • Strong computer and typing skills
  • Prior experience in an office setting is preferred
  • Work hours are Monday\-Friday
