Responsibilities

  • Greet visitors, clients, and vendors with a warm, professional demeanor, ensuring they feel welcomed and valued.
  • Manage multi\-line phone systems efficiently, directing calls accurately and courteously.
  • Handle all front desk duties including scheduling appointments, verifying insurances, referrals, managing calendars, and coordinating meetings.
  • Maintain organized filing systems, perform data entry, and ensure all documentation is accurate and up\-to\-date.
  • Use computer skills to support office operations, including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace tools, and basic bookkeeping with QuickBooks.
  • Support office management tasks such as inventory tracking, supply ordering, and maintaining cleanliness of the reception area.
  • Provide excellent customer support by addressing inquiries promptly and professionally while demonstrating superior phone etiquette.
  • Skills

  • Proven experience in office management or administrative support roles with strong clerical skills.
  • Exceptional organizational skills with the ability to multitask effectively in a fast\-paced environment.
  • Proficiency in computer literacy including Microsoft Office programs, Google Workspace, data entry, and proofreading.
  • Experience with multi\-line phone systems and handling high\-volume calls with professionalism.
  • Bilingual abilities are highly desirable to serve diverse client needs effectively.
  • Strong time management skills to prioritize tasks efficiently while maintaining attention to detail.
  • Knowledge of medical or dental receptionist duties is a plus but not required; experience as a personal assistant or in bookkeeping is beneficial.
