How You Will Serve at Grace:
Position Summary
Reporting to the Central Operations Pastor, the Assistant to the Central Operations Pastor provides administrative and operational support to ensure the efficient functioning of Grace Fellowship’s day\-to\-day operations. This role schedules meetings, prepares documents and reports, handles correspondence, and assists with day\-to\-day office tasks. Success in this position requires a high level of trust and the ability to be discreet in sensitive matters. The ideal candidate will be able to handle multiple projects at once, able to work independently and as part of a team.
Primary Responsibilities
- Receive, screen, prioritize, and appropriately route phone calls, voicemail messages, and inquiries directed to the Central Operations Pastor with discretion and sound judgment
- Schedule and arrange meetings for the Central Operations Pastor with staff, congregants, and outside vendors
- Provide administrative and logistical support for monthly corporate All\-Staff Meetings and Central Support meetings, including agenda coordination, materials preparation, logistics, and follow\-up communication
- Coordinate and support the planning, logistics, and execution of the annual Management Team Retreat and Central Support Retreat, including scheduling, venue coordination, materials, travel arrangements, and on\-site support
- Assist in the planning and execution of seasonal staff events
- Coordinate logistical support for Elder Meetings, including catering and scheduling support
- Coordinate and execute special projects supporting the Central Operations Pastor, exercising independent judgment and ensuring timely completion
- Prepare, organize, and maintain confidential documents, correspondence, and records related to Central Operations and governance activities
- Perform other related administrative tasks as assigned in support of campus operations
- A High school diploma or general education degree (GED)
- A history of exceptional attention to detail
- Strong interpersonal skills \& the ability to effectively work with a wide range of individuals
- Proven ability to communicate clearly, both verbally and written
- Understanding of general office procedures, including scheduling, correspondence, and document management
- Familiarity with standard productivity software such as Microsoft Office or Google Workspace, and ability to quickly learn church\-specific systems
- Strong organizational and time\-management skills to prioritize tasks and meet deadlines
- Ability to maintain confidentiality and exercise discretion when handling sensitive information
- Ability to adapt to changing priorities and to handle multiple tasks simultaneously
- Ability to work effectively within a church or faith\-based environment, supporting the mission, values, and culture of the organization
- Demonstrated professionalism in interacting with senior leaders, elders, staff, congregants, and external partners
- Associate's degree or equivalent combination of education and experience, with two to four years of administrative or executive support experience preferred
