Responsibilities
- Manage front desk duties, greeting visitors and directing them appropriately with professionalism and warmth
- Operate multi\-line phone systems, answer inquiries promptly, and route calls efficiently using proper phone etiquette
- Handle data entry tasks with accuracy using Microsoft Office, Google Workspace, and other office software
- Maintain organized filing systems, both physical and digital, ensuring quick retrieval of documents
- Support calendar management by scheduling appointments, meetings, and coordinating events seamlessly
- Assist with bookkeeping activities using QuickBooks or similar accounting tools to support financial recordkeeping
- Provide excellent customer service by supporting clients, vendors, and team members in person or via phone/email
- Perform clerical tasks such as proofreading documents, preparing reports, and managing correspondence
- Support office management activities including supply inventory, equipment maintenance, and general administrative support
- Contribute to a positive office environment through effective time management and organizational skills
- Prior experience in an office environment or administrative role is highly preferred
- Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Experience with QuickBooks or other bookkeeping software is a plus
- Bilingual abilities are desirable to serve diverse client needs effectively
- Strong organizational skills with the ability to multitask efficiently in a fast\-paced setting
- Excellent communication skills with professional phone etiquette and customer support experience
- Knowledge of medical or dental receptionist duties is advantageous but not required
- Proven ability to handle data entry accurately while maintaining confidentiality
- Personal assistant or office management experience will be considered an asset
