Job Summary
We are seeking a professional and organized Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency with office management tools, and the ability to handle multiple tasks efficiently in a fast\-paced environment. Experience with office software, multi\-line phone systems, and clerical duties is essential to ensure smooth daily operations.
Duties
- Greet visitors and clients in a courteous and professional manner
- Manage multi\-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and manage calendar bookings using Google Workspace or Microsoft Office tools
- Perform data entry, filing, and maintain accurate records using QuickBooks or other office management software
- Handle incoming and outgoing correspondence, including emails and mail distribution
- Assist with administrative tasks such as proofreading documents, managing office supplies, and organizing files
- Support bookkeeping activities and basic office management functions
- Ensure the reception area remains tidy and welcoming at all times
- Provide excellent customer support by addressing inquiries promptly and professionally
- Maintain confidentiality of sensitive information in accordance with company policies
- Verify and bill insurance
- Prior office experience or clerical experience preferred
- Familiarity with QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), and Google Workspace is highly desirable
- Experience with multi\-line phone systems, data entry, filing, and calendar management is essential
- Bilingual abilities are a plus to assist diverse clientele
- Previous roles such as medical receptionist, dental receptionist, or personal assistant are advantageous
- Strong organizational skills, time management abilities, and attention to detail are required for success in this role
- Excellent phone etiquette and customer service skills are necessary to create a positive experience for visitors and callers
