Position Summary
The Practical Nursing Administrative Assistant plays a key role in supporting the Practical Nursing Program at OTECH by providing administrative support to the Practical Nursing Program Manager and ensuring the efficient operation of the office. In alignment with OTECH’s values of Community, Learning, and Integrity, the incumbent is responsible for maintaining and updating files and records; preparing documents and presentations; managing office supplies and inventory; and performing general administrative duties such as filing, copying, and scanning. This position reports directly to the Practical Nursing Program Manager and contributes to a collaborative, student\-centered learning environment.
Essential Functions
- Provide administrative support for the supervisor, instructors, and staff.
- Answer and direct phone calls and emails.
- Assist with coordinating meetings and training, preparing meeting/training materials, and taking minutes.
- Responsible for tracking student attendance.
- Coordinates specialized program office functions or activities.
- Assist students by directing them to appropriate resources and information.
- Assist with the execution of course evaluations and the compilation of data.
- Maintain and update student files including immunization information.
- Create, send, and collect data from student surveys
- Perform general administrative duties, such as scanning, filling, and copying documents.
- Perform data entry and compile reports.
- Assist with compilation of documentation for college and programmatic accreditations.
- Control the use of equipment and supplies; recommend purchases.
- Cover for other college administrative assistants and/or departments when necessary.
- Handle sensitive and confidential information with discretion
- Perform other duties as assigned.
- Must possess a high school diploma. Preference will be given to applicants with post\-secondary education.
- Must have at least of one year of work\-related experience doing office support.
- Must possess excellent customer service skills.
- Professional, responsible, friendly, and able to work in an educational institution.
- Must possess excellent written, verbal and interpersonal communication skills.
- Must be proficient in business computer software applications particularly Microsoft Office.
- Ability to work independently, manage multiple work assignments, and meet deadlines.
- Ability to work with individuals of all racial, ethnic, and socio\-economic backgrounds.
- Spanish speaking proficiency desirable.
- Typically, the employee may sit comfortably to perform most work; however, there will be some walking; standing; bending; reaching; and carrying light items. Special physical demands are not required of the position.

WORKING HOURS: Monday \- Thursday with Hours Varied: 8:00AM \- 2:00PM two days per week and 2:00PM \- 8:00PM two days per week
