Responsibilities

- Handle incoming calls using multi\-line phone systems with professionalism and courtesy, ensuring excellent phone etiquette
- Provide exceptional customer support through email, chat, and phone interactions, addressing inquiries promptly and effectively
- Perform data entry tasks with accuracy using tools like Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and record keeping
- Organize files, maintain records, and ensure proper filing systems are in place for easy retrieval of documents
- Assist with front desk duties such as greeting visitors (virtually or physically), managing correspondence, and coordinating office logistics
- Support office management tasks including supply ordering, invoice processing, proofreading documents, and maintaining organizational systems
- Proven experience in office management or administrative roles with strong clerical skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Docs), and basic computer literacy
- Experience using QuickBooks or similar bookkeeping software is highly desirable
- Excellent organizational skills with the ability to multitask efficiently in a fast\-paced environment
- Strong typing skills along with attention to detail for proofreading and data entry tasks
- Bilingual abilities are a plus to assist diverse client needs; fluency in multiple languages enhances communication capabilities
- Previous experience as a receptionist (medical or dental) or personal assistant is advantageous
- Familiarity with multi\-line phone systems and calendar management tools is essential
- Demonstrated customer service skills with professional phone etiquette and a friendly demeanor
- Ability to manage time effectively while handling multiple responsibilities simultaneously
