We are looking for a detail\-oriented, proactive Fractional CFO Assistant to support our finance, tax, and operations workflows while helping deliver a premium client experience.

Position Overview

The Fractional CFO Assistant supports our CFO, bookkeeping, payroll, and tax functions by handling preparation, organization, client coordination, and system support. This role is ideal for someone who enjoys structure, deadlines, and financial operations — and who thrives in a fast\-paced, client\-facing environment.

This is not an entry\-level role, but it does not require a CPA. Accuracy, accountability, and professionalism are critical.

Key Responsibilities

Client \& Administrative Support

  • Manage client communications related to document requests, deadlines, and status updates
  • Manage Company Social Media pages and provide content
  • Track deliverables across bookkeeping, payroll, tax, and CFO engagements
  • Schedule client meetings and maintain internal calendars
  • Prepare engagement letters, onboarding checklists, and workflow trackers
  • Maintain clean, organized digital client files
  • Bookkeeping Support

  • Categorize transactions and reconcile bank and credit card accounts
  • Upload, organize, and verify receipts and supporting documents
  • Assist with month\-end close procedures
  • Prepare draft financial statements (P\&L, Balance Sheet, Cash Flow) for review
  • Identify discrepancies or unusual activity and flag for escalation
  • Payroll Support

  • Collect payroll inputs (hours, bonuses, reimbursements, benefits changes)
  • Process payroll under management review
  • Assist with payroll tax filings and compliance tracking
  • Onboard and offboard employees and contractors in payroll systems
  • Maintain payroll records and respond to routine payroll questions
  • Tax Support (Non\-CPA Role)

  • Collect and organize tax documentation (W\-2s, 1099s, K\-1s, sales tax data, etc.)
  • Prepare tax organizers and client questionnaires
  • Track quarterly estimates, extensions, and filing deadlines
  • Enter data into tax software for preparer review
  • Monitor IRS and state notices and escalate when necessary
  • Fractional CFO \& Advisory Support

  • Pull financial data for budgeting, forecasting, and cash flow analysis
  • Maintain KPI dashboards and financial trackers
  • Assist with variance analysis and trend reporting
  • Prepare lender, investor, and internal reporting packages
  • Track action items from CFO strategy sessions
  • Systems, Compliance \& Process Improvement

  • Work across QuickBooks, payroll platforms, tax software, and CRM tools
  • Maintain compliance calendars for client entities
  • Assist with multi\-entity and S\-Corp owner tracking
  • Document workflows and improve internal SOPs
  • Uphold strict confidentiality and data security standards
  • Ideal Candidate Qualifications

  • 2\+ years’ experience in bookkeeping, accounting support, or financial operations
  • Strong working knowledge of QuickBooks Online
  • Experience supporting payroll and tax workflows (direct or indirect)
  • Comfortable working with S\-Corps, service\-based businesses, and multi\-entity clients
  • Highly organized with excellent attention to detail
  • Strong written communication and client professionalism
  • Able to manage multiple deadlines without constant supervision
  • Bonus (Not Required)

  • Experience in a CPA firm or fractional CFO firm
  • Familiarity with multi\-state compliance or sales tax
  • Experience with Gusto, Onpay, or similar payroll systems
  • Interest in growing into a senior operations or finance role
